Primary Purpose
This position encompasses a variety of responsibilities aimed at ensuring the smooth and efficient running of day-to-day operations at the Dongguan office. The role includes maintaining office cost control and supporting staff across the entire office, including the corporate office, warehouse, lab, and sample room. Additionally, this position serves as the local liaison for cross-functional and regional coordination, both internally and externally.

Office Administration
- Manage and supervise the administrative staff to perform full spectrum of office duties.
- Build and timely update office policies and procedures, safety and security guidelines.
- Ensuring the security and safety of the office environment, including managing access control with IT and maintaining safety protocols.
- Maintains office efficiency by planning and implementing office systems, layouts, and seat plan and equipment procurement.
- Manages receptionist, car arrangement, security guards as well as cleaners of 5-7F.
- Manages all supplies & centralizes the services locally, as well as vendor performance management on annual basis .
- Responsible for organizing company events such as Birthday / Annual Dinner/ Team Building with HR etc. and provide the relevant support to Social Committee on Women’s Day/Family Day/Christmas.
- Be the key contact person of China invitation letter preparation for international travelers.
- Handle ad-hoc assignments as required. etc.
Office Budget Management
- Manage and control daily administrative expenses and prepare annual budgets.
- Manage petty cash for miscellaneous workshop expenses, including receipt collection and spend tracking.
Coordinate with various departments to ensure financial efficiency including handling budgets, forecasting, and resource allocation to meet strategic goals.
Manage relationship with external parties
- Build and maintain the relationship with the landlord.
- In partnership with the Shanghai office, build and maintain relationships with government entities to ensure compliance with local regulations and to facilitate smooth business operations.
- Cultivate and maintain relationships with vendors and suppliers.
- To avoid common public relations blunders to maintain the public's trust. This includes knowing how to talk to reporters, writing effective pitches, and conducting follow-ups to boost your message and to help in managing brand visibility and reputation.
