Position Summary
The Travel Expense Specialist - China plays a critical role in ensuring the accuracy, compliance, and integrity of employee expense submissions processed through the Helios expense management system. This role supports Viatris’ commitment to financial transparency and compliance with both internal Travel & Expense (T&E) policies and Chinese regulatory requirements.
The position will report to Senior Manager, Global T&E and Card Shared Services and serve as a key liaison between China employees, local T&E team, local finance team, and local compliance to ensure timely, accurate, and compliant reimbursement processes.
Key Responsibilities
● Audit employee expense reports submitted in Helios for compliance with Viatris’ T&E global and local policies, Chinese tax laws, and local regulations.
● Check invoice completeness and consistency for all reports.
● Provide clear guidance to employees regarding expense policies and report corrections.
● Follow up on issues, and record the follow-up process & review results in the system.
● Verify receipts and supporting documentation, including fapiao validation and appropriate business justifications.
● Identify and resolve discrepancies or potential policy violations in a timely and professional manner.
● Ensure adherence to Viatris’ global and local policies, internal controls and local Chinese finance requirements.
● Partner with the regional finance and compliance teams to maintain awareness of policy changes affecting expense reporting.
● Conduct regular/ad-hoc learning and internal training on updates to Work Instructions (WI), checkpoints, etc.
● Participate in process improvement initiatives to enhance efficiency, accuracy, and employee experience.
Qualifications
● Bachelor’s degree required.
● 1-4 years of relevant experience in expense auditing, accounts payable, compliance, or finance operations preferred.
● Proficiency in Mandarin Chinese and English (both written and spoken) required.
● Familiarity with Helios or other expense management platforms preferred.
● Understanding of Chinese fapiao regulations preferred.
● Excellent attention to detail, organization, and problem-solving skills.
