Description

The Qi Social Innovation Center is seeking an Operations Assistant
to support the office’s day-to-day operations. This role will work closely with the Center GM and Program Manager, and encompass a diverse range of operational responsibilities, including but not limited to general operations, financial procedures and documentation, logistics coordination and vendor management, office upkeep, event management and receptionist duties.

The ideal candidate is someone with a proven record of success in a dynamic, multitasking work environment, along with a strong understanding of and sensitivity to cultural norms and social practices. They should be exceptional team collaborator as well as independent
contributors with keen attention to details, the ability to handle confidential matters with discretion, and proficiency in performing effectively under pressure.

This position includes a comprehensive social insurance package and offers flexible shorter working hours(daily working hours from 8:30-15:30), designed to support employees with family caregiving responsibilities.

启创中心现招聘一名运营助理,负责支持办公室日常运营工作。该职位将与启创中心总经理及项目经理紧密协作,承担多样化的运营职责,包括但不限于:日常事务管理、财务流程与文件处理、后勤协调与供应商管理、办公室维护、活动管理及前台接待工作。


理想候选人需具备在动态多任务环境中取得成功的工作经验,对文化规范与社会习俗有深刻理解和敏锐洞察力。应聘者需是出色的团队协作者及独立工作者,具备极强的细节关注力,能够谨慎处理机密事务,并在高压环境下高效完成工作。


本职位提供全面的社会保险福利,并设有灵活缩短工时制度(每日8:30-15:30,旨在支持承担家庭照护责任的员工。


Main Responsibility

Operations Administration Support 40%

· Visitor Management and Reception / Security services

· Providing logistic support for events

· Providing document translation, proof-reading and editing

· Coordinates with office services vendors on contracts, service interruptions, and maintenance

· Preparing and processing contracts for system approval

· Assisting in office record management and document filing

· Helping with subscriptions, the purchasing of office supplies, printings, furnishings and equipment

· Managing the office including all common areas and meeting rooms, are tidy and operational on a regular basis

· Managing and providing regular upkeep to meeting rooms and shared spaces

Finance Management Assistance 30%

· Managing day-to-day logistics expense reports and vendor payment support processes

· Filing accounting documentation, ensuring that all are complete and compliant

· Helping with inventory management

· Providing regular upkeep to meeting rooms and shared spaces

Business Continuity Assistance 30%

· Support the Qi Center Team in drafting, preparing and optimizing external communication documentation

· Provide support for the Qi Center Team’s liaison with external partners as needed

· Occasionally assist in production of marketing communication material including monthly EDM.

财务管理协助 30%


· 管理日常物流费用报销及供应商付款支持流程


· 归档会计文件,确保所有文件完整且合规


· 协助库存管理


· 定期维护会议室及共享空间


业务连续性支持 30%


· 协助气中心团队起草、准备及优化对外沟通文件


· 根据需要支持启创中心团队与外部合作伙伴的联络工作


· 不定期协助制作营销传播材料(含月度电子邮件营销)


Qualifications, Skills & Experience

· Education: Baccalaureate degree in related field or relevant and equivalent experience

· 4+ years of experience working in operation-related support roles

· Excellent written and oral communication skills in Chinese and English. Exceptional organizational, communications and problem-solving skills

· Proficiency in Microsoft office programs (Google docs, word, Excel, PowerPoint), multimedia presentations (Canvas, Gamma, Jianying)

· Strong client-service orientation and the ability to maintain accuracy in a high-volume work environment

· Demonstrated ability to work successfully in multi-faceted, multitasking environment

· Understanding of and sensitivity to diverse cultural norms and social practices

· Demonstrated ability to be a productive member of a community of people at work, respecting differences while working toward shared goals, comfort with periods of ambiguity, constructive participation in on-going organizational development

资质、技能与经验


· 学历:相关领域学士学位或同等工作经验

· 4年以上运营支持岗位工作经验

· 精通中英文书面及口头表达,具备卓越的组织协调、沟通解决问题能力

· 熟练掌握微软办公软件(谷歌文档、Word、Excel、PPT)及多媒体演示工具(Canvas、Gamma、剪映)

· 强烈的客户服务意识,能在高强度工作环境中保持工作准确性

· 在多维度、多任务环境中高效工作的实证能力

· 理解并尊重多元文化规范与社会习俗

· 展现出成为高效团队成员的能力,在尊重差异的同时共同追求目标,适应不确定性阶段,积极参与组织持续发展
