职位描述
Responsibilities:
1.Provide administrative support to GM including:
● Prepare presentations and materials (PowerPoint, word, excel) for various meetings.
● Assist in following up tasks assigned by GM.
● Assist GM in coordinating with managers.
● Take minutes of meeting when required, incl. BoD meeting, Monthly Management Meeting, and etc.
● External communication and coordination with SLC and other Siemens companies on behalf of GMO.
● Support on communication with government.
● Arrange functions: schedule meetings and appointments, calendar arrangement.
● Traveling arrangements for GM: arrange transportation, book tickets and hotels, timely communication with GM driver, making detailed traveling agenda.
● Documents filing and be sensitive to confidential documents.
● Reception of GM’s visitors.
● Expense claim form preparation for GM.
● Collect and check the documents that need GM’s signature and make records for tracing.
2.In charge of internal communication:
● Design and publish posters.
● Write and collect articles for internal website.
● Publish announcements to all employees.
● Arrange Town Hall meeting for all employees.
● Follow up headquarter market communication projects in SIED.
3.Assist in administration management:
● Plan and organize Annual Party, Outing, Family Day and other company events.
● Management of canteen, office stationery, green plants, cleaning and etc. (supplier management and coordination)
Requirements:
1. Above 3 years working experience as a role of assistant to GM/Director
2. Bachelor degree or above, major in English is preferred
3. Strong interpersonal & networking skills; Initiative & Result Orientation
4. Fluency in both spoken English and written English
5. Skillful usage of MS Powerpoint, MS Excel, MS Outlook
6. Proof-reading & editing skills
7. Communication &Coordination skill
8. Time management skill
9. Have lean awareness and know basic lean method: e.g. 7 wastes, 5s, A3, Process Mapping
10. Quality awareness based on ISO 9001 requirement
