JOB RESPONSIBILITIES & SCOPE OF WORK:

Develop and implement document control procedures and systems in alignment with project and client
requirements..
•
Establish and maintain the project’s document numbering system, file structure, and metadata tagging.
•
Manage the receipt, registration, tracking, distribution, and archiving of all technical and non-technical
documents.
•
Ensure timely review and approval workflows for all project documentation.
•
Coordinate with engineering, procurement, construction, QA/QC, and HSE departments for
documentation requirements.
•
Oversee the preparation of transmittals and submission logs to clients and authorities.
•
Ensure document compliance with contractual deliverables, quality standards, and regulatory
requirements.
•
Train, supervise, and guide the document control team to ensure consistent and compliant practices.
•
Provide regular reporting on document status, outstanding actions, and potential delays.
•
Support the preparation of final documentation and dossiers for project handover and closeout.
QUALIFICATIONS & SKILLS:
•
Bachelor’s degree in Business Administration, Engineering, Information Management, or related field.
•
Certification in Document Control (e.g., ISO 9001 Document Control, ARMA, or similar) is an advantage.
•
Proficiency in document control systems (e.g., Aconex, ProArc, EDMS, SharePoint, etc.).
•
Strong organizational and planning skills with keen attention to detail.
•
Proficient in electronic document management systems (EDMS) and project collaboration platforms.
•
Excellent communication and coordination skills to interface with internal teams, contractors, and clients.
•
Ability to manage deadlines, prioritize tasks, and ensure accuracy under pressure.
•
Strong understanding of document versioning, numbering systems, and project document classification.
•
Knowledge of international documentation standards (e.g., ISO, API, client-specific formats).
•
Minimum 8–10 years of experience in document control and records management within large-scale oil &
gas, FPSO EPC projects.
•
Experience in managing document control teams across multi-disciplinary, multinational project
environments.
•
Familiarity with project lifecycle documentation from engineering, procurement, construction, to
commissioning and handover.
