The Administrative Assistant to PT China Quality will provide comprehensive administrative support to the entire Quality organization, ensuring efficient operation and effective communication within the department.
This role assists Quality Head China to ensure smooth daily operations.
This role requires strong organizational skills, attention to detail, and the ability to handle multiple tasks concurrently.
3. Principle Roles & Responsibilities / Accountabilities 主要职责/责任

Events and Meetings Coordination
● Organize, arrange, and coordinate conferences, activities, workshops, team-building events, and outings.
● Schedule, organize, and coordinate internal and external meetings, including preparing agendas, taking minutes, and distributing follow-up actions.
● Assist Quality Leadership Team in planning and executing department events, workshops, and training sessions.
● Coordinate the corresponding communications and logistics for visitor management.
Administrative Support
● Provide secretarial support to the Quality Head China, including managing and coordinating daily schedules, calendars, appointments, business travels, presentations, financial reimbursements, etc.
● Complete daily administrative tasks for the Quality Department, such as managing newcomer onboarding, document handling, financial reimbursements, fixed asset inventory, online stationery applications, and general services.
● Organize and maintain department files, records, and documentation as required, such as current organization charter, department presentations, etc.
● Support the Quality Department with purchase requests, service receipt management, and cost control within the SAP system.
● Monitor and manage the inventory of office supplies for the Quality Department.
● Place orders and liaise with vendors to ensure timely delivery of required items.
Compliance and Additional Responsibilities
● Fully understand and adhere to company guidelines and policies to ensure all administrative processes comply with company SOPs.
● Support QLT members as needed and contribute to achieving team or project objectives.
● Handle other assignments as deemed appropriate for functions or the company.
4. Qualification and Experience 能力与经验
Education/Qualifications 教育程度/所获资格证书
● Bachelor degree or above
● Minimum of 3 years of experience in an administrative support role, preferably within a quality or regulatory environment
Job Required Competencies 岗位所需胜任力
● Proficient in Office software and AI tools (Word, Excel, PowerPoint, etc).
● Excellent verbal and written communication skills with both Chinese and English.
● Knowledge of quality or regulatory aspects is a plus.
● Strong organizational and multitasking abilities.
● Detail-oriented with a high degree of accuracy.
● Ability to maintain confidentiality and handle sensitive information discreetly.
● Proactive and self-motivated with a strong sense of accountability.
● Adaptable and flexible in a fast-paced environment.
● Team-oriented with excellent interpersonal skills.
● Ability to work independently and prioritize tasks effectively.
