1. 订单处理与客户服务

Order processing and customer service

1.1 订单接收与审核:

Order receiving and review

- 接收来自经销商、养殖场、宠物医院等客户的订单(通过电话、微信、ERP系统、邮件等)。

- 严格审核订单信息的准确性,充分确保无差错。

- 确认客户资质,确保销售对象是符合GSP要求的合法经营单位。

- Receive orders from customers such as distributors, farms, pet hospitals, etc. (via phone, WeChat, ERP system, email, etc.).

- Strictly review the accuracy of order information without any errors.

- Verify the customer's qualifications to ensure that the sales target is a legal operating entity that complies with GSP requirements.

1.2 订单录入与流转:

Order entry and circulation

- 将审核无误的订单准确、及时地录入公司SAP系统。

- 生成销售订单,并传递给仓库部门进行配货、发货等。

- Enter the verified orders accurately and promptly put into the company's SAP system.

- Generate sales orders and pass into the warehouse department for picking, packing, and shipping, etc.

1.3 客户咨询与沟通:

Customer inquiries and communication

- 作为前端销售人员的后方支持,直接处理客户的常规咨询,如:产品库存查询、价格查询、发货进度、到货时间等。维护与客户良好的关系。

- As the back-end support for sales staff, with directly handle the routine inquiries from customers, such as: product inventory inquiries, price inquiries, shipping progress, delivery time, etc. Maintaining a good relationship with customers.

2 合规与文档管理

Compliance and documents management

2.1 客户资质管理:

Customers qualification management

- 收集、审核、归档所有客户的资质文件,包括但不限于《营业执照》、《兽药经营许可证》(针对经销商)、GSP证书等,并确保其有效性,并定期进行更新。

- 建立并维护合格的客户档案库。

- Collect, review and archive all the qualification documents of customers, including but not limited to the "Business License", "Veterinary Drug Business License" (for distributors), GSP certificate, etc., and ensure their validity. And regular updates should be conducted.

- Establish and maintain a qualified customer file database.

2.2 销售记录与追溯:

Sales records and traceability

- 根据GSP要求,准确完整地填写或生成《兽药销售记录》。充分确保每一笔销售都可追溯。

- According to the GSP requirements, accurately and completely fill out or generate the "Veterinary Drug Sales Record". Ensure that every sale transaction can be traced.

2.3 首营企业与首营品种管理:

Management of first-time entrusting enterprises/products

- 协助完成新客户(首营企业)和新代理产品(首营品种)的资质审核和档案建立工作。

- Assist in completing the qualification review and file establishment for new customers (first-time business enterprises) and new agency products (first-time product varieties).

2.4 票据管理:

Voucher management

- 与客户对接,准备开具增值税发票的相关信息并及时录入系统。

- 保管所有与销售相关的票据、凭证,确保合规。

- Communicate with the customers, prepare the relevant information for issuing VAT invoices and promptly input it into the system.

- Safeguard all the sales-related documents and vouchers to ensuring fully compliance.

3 物流与库存协调

Logistics and inventory coordination

3.1 发货协调与跟踪:

Delivery coordination and tracking

- 与仓库协调发货事宜,确保订单按时发出。

- 安排物流, 跟踪在途货物,及时将运单号等信息告知客户和销售代表。

- 处理物流异常情况,如延误、破损等,并与客户沟通解决。

- Coordinate the shipping matters with the warehouse ensure orders are dispatched on time.

- Arrange logistics, track the goods in transit, and promptly inform customers and sales representatives of shipping numbers and other relevant information.

- Handle abnormal logistics situations, such as delays and damages, and communicate with customers to resolve them.

3.2 库存监控与预警:

Inventory monitoring and warning

- 定期通过系统监控库存水平,特别是热销产品和近效期产品。

- 将库存信息(如缺货、积压)及时反馈给销售团队和采购/计划部门,避免断货或过期损失。

- Regularly monitor inventory status through the system, especially for popular products and

those nearing their expiration date.

- Provide inventory information (such as shortages and overstock) to the sales team and the procurement/planning departments promptly to prevent stockouts or expiration losses.

4 数据统计与行政支持

Data statistics and admin support

4.1 销售数据统计:

Sales data statistics

- 定期(每日/每周/每月)统计销售数据,制作报表,如销售额、回款情况、客户销量排名、产品销量分析等,为销售团队提供决策支持。

- Regularly (daily/weekly/monthly) collect sales data, prepare reports, such as sales volume, collection status, customer sales ranking, product sales analysis, etc., to provide sound support for the sales team.

4.2 内部行政支持:

Internal administrative support

- 管理销售部门的日常行政事务,费用报销、会议安排、文档整理等。

- 协助销售人员准备投标文件、宣传资料等。

- 协助销售人员准备展会相关资料等。

- Manage the daily administrative affairs of the sales department, including expense claim, meeting arrangements, document organization, etc.

- Assist sales in preparing bid documents, promotional materials, etc.

- Assist sales in preparing relevant materials for exhibitions, etc.
