Executive Assistant
Job Profile Summary
Responsible for supporting assigned teams/leaders by providing proactive assistance and administrative support to shanghai office daily operation, in order to enhance efficiency and deliver effective solutions.
Key Accountabilities:
• Professional guest reception, greet and welcome visitors in good manner.
• Meeting room booking arrangement &meeting room daily check-up accord to standard, good meeting room environment tracking. Meeting room facility checking & setup before each meeting upon user’s requirement.
• In charge of stationery application.
• Support the team with administrative and required matters.
• Co-work with other team in support IT equipment coordination, RE management and accounting-related activities.
• Be responsible for complex global travel arrangements, compile itineraries, anticipate visa requirements and applications where applicable.
• Collate expense receipts, prepare monthly submissions, reconcile and submit on time.
• Other tasks assigned by office head
Skills & Competencies
• University degree in any discipline
• Self-motivated, proactive, takes ownership
• Excellent organization skills - planning and systematic management
• Strong interpersonal skills, ability to build strong internal and external relationships, customer service, team player, work globally across cultures
• Good verbal and written communication skills
• Fluency in Chinese, English, and Japanese
