岗位职责:
Main Tasks:
• Office Support
- Exercise reliable personal judgement and act with tact to greet and screen visitors and calls at all levels within the organization, industry, community and external business contacts.
- Communicate supervisor's instructions to various individuals and/or departments, provide and obtain information from other managers or external representatives and convey the feedback to the supervisor correctly and timely.
- Organize and expedite flow of work through supervisor's office and initiates follow-up action as instructed
- Check and upkeep department's or unit's general supplies and stationery regularly
• Correspondence
- Organize and maintain delegated correspondence, records
- Transcribe dictation of confidential nature
- Route or answer routine correspondence not requiring supervisor's attention
- Prepare special reports and organizes complex documents requiring multi software applications.
• Information & Report handling
- Collect, summarize and compile relevant business data into reports, Monthly coordinate time schedules from different functions within division and maintain reminder system
- Handle confidential information, files, materials to ensure information security for proper use
- Establish and maintain a proper filing/database system for easy retrieval and accurate documentation to facilitate information flows.
- May need to attend meetings, seminars, conference, etc. to take notes, minutes and prepare reports.
• Logistics support for business meeting and travel
- Keep the supervisor's agenda current and updated, may need to exercise personal judgement to prioritize the supervisor's agenda or suggest schedule for meetings, conference and travels
- Maintain the supervisor's appointment/travel calendars and organizes business travels, including reservation of hotel accomodation, ticketing, travel documentation application, etc.
- Prepare meetings, workshops, conferences etc. by providing logistics services (e.g. venue selection, invitations, agenda, participants' confirmations, hotel reservations), including assistance in preparing documents, May need to attend such meetings to take notes, minutes and prepare reports.
- Prepare and submit travel expenses statement as requested
• Company Secretary
- Maintain company file and update timely
- Renew company certificates upon changes
- coordinate document authorization, conduct on annual audit
- Take charge of company chop affairs
- Exercise delegated document control duties (ISO, Site EHS)
• Legal Administration Service
- interaction with administration levels of authorities for exchange, generation and extension of documents
- communication with administration levels of authorities for arranging meetings, visits and events
- coordination of related activities with site management and GC legal service platform
• Communication
- Committed to building and enhancing BASF's reputation as The Chemical Company with all of its target audiences to help the company achieve its objectives
- Ensure consistent communication of BASF's core messages internally and externally
- Input for Corporate Communications concerning corporate press releases/conferences
Requirements:
• Education: University degree and or above
• Working Experience: above 5 years in commercial and or business management
• Technical & Professional Knowledge: Computer skills, English skills, understanding for industrial management support
